We are present on four continents and are headquartered in Oslo, Norway.Main purpose of positionCurrently we are looking for an Office Manager in South Africa to be part of our global team working together towards our vision - Improving our future. As our Office Manager you will provide, coordinate and ensure efficient and professional office administration and lead the local office/admin team, also supporting the Talent Acquisition team in Southern Africa. As part of the People and Organisation department the Office Manager will contribute to an employee-orientated; high performance culture and work environment that emphasizes empowerment, equality, productivity, and alignment towards implementation of global strategies and local priorities. The responsibilities will involve Office management tasks and dedicated HR support.Main Responsibilities

  • Manage the Reception and Admin support team, including overseeing cleaning and reception duties
  • Ensure that all office supplies, such as consumables and stationery, are adequately stocked and track monthly courier and post management
  • Manage end to end travel management including invitation letters, visa application support, flight bookings in partnership with external providers and car hire
  • Continuously work with Oslo Office Manager and align on policy updates for the department
  • Process all office management-related invoices, manage the company credit card, and oversee facilities invoices
  • Manage access control for employees (new and existing) in the building, working closely with the building manager
  • Prepare and schedule quarterly Townhalls (Book venues, schedule diaries, prepare slides/media)
  • Support Sub Saharan Africa Leadership team with meetings, workshop preparations and urgent tasks as required
  • Facilitate Social activities for the organization, acting as a central point of contact for all offices in Southern Africa (including sites)
  • Assist and support all H&S initiatives and partake in all Office related HSE related activities
  • Partner with the Talent Acquisition team and fully support the monthly Induction process
  • Fully support in the sourcing, shortlisting, interviewing and admin support required in the talent acquisition division
  • Support HR and Finance in centralizing a document control system with both departments
Qualifications and Competencies
  • Bacheors degree or equivalent
  • 5+ years Office management experience or relevant background from HR or Office and organisation management
  • Proven Experience of working in an international matrix organization
  • Ability to Assist with adhoc HR support requirements for the Southern Africa region
  • Prepare monthly Timesheet reports
  • Maintain desk booking system (Konciv)
  • Ensure appropriate PPE is issued to staff going and working on sites
  • Manage current vendors and source new vendors as required
  • Fluent both written and spoken English
  • Valid driver's license
  • Proficiency in MS Office and Advanced Microsoft Excel and PowerPoint skills

  • Ability to manage conflicts and secure good outcomes, especially demonstrating high interpersonal skills
  • Strong stakeholder management, including senior stakeholders with demand expectations
  • Good attention to detail in following up and processing core tasks
  • Great writing skills, creative person, PowerBI skills would be a great advantage
