Orders:
Request and follow-up of all quotations from suppliers

Purchases:
Packing parcels for courier + delivery address and writing waybill.
See to it that parcels are picked up the same day and sent to Vryburg.
Preparation of a complete town list for parts that are missing. Draw quotes where necessary and book out stock from suppliers where loading is to be done.
Check invoices with bank transactions for town card purchases and check purchases with orders, so that everything has been received.
Sage One Accounting:
Issuance of buyer invoices and collection of funds
Reading supplier/buyer invoices for VAT201 purposes on a monthly basis (xc2xb1400 invoices pm in harvest time & xc2xb1 100 invoices pm outside harvest time)
Attach invoices to Sage after reading in transaction
Cost allocations and reconciliation for VAT201 purposes
Preparation of managers' reports
Provide feedback or all inquiries from auditors
Labor Relations:
Schedule workshops to explain the business' code of conduct to employees.
Implementation of the code of conduct.
Record keeping of written warning letters and any other disciplinary notices.
Conduct disciplinary hearings on an ongoing basis.
Provide documentation to Department of Labor as and when requested.
CCMA attendance for Conciliation and Arbitration
Diesel control:
Maintain Afriklok diesel control system
Pull reports regarding diesel consumption
Submit SARS diesel rebate report figures monthly to the auditors
Weekly monitoring of diesel consumption.
Monthly diesel audits and reporting of diesel consumption per vehicle or tractor
Investigate fraud and theft and take necessary disciplinary action.
Payments:
Prepare and maintain monthly income and expense reports
Electronic payments and their record keeping.
Annual payment and submission to Casualty Commissioner April
Wages and Timesheets:
Check temporary employee attendance and wages register for correctness.

Monthly salary payments (between 25th and 31st of each month)
SARS submissions:
Submission and payment of EMP201 (UIF, ETI, PAYE) via eFiling before the 7th of each month
EMP501 reconciliation submission via SARS Easyfile 2 x per year (in May for 12 months recon and October for 6 months recon)
Farm Shop:
Manage and stock purchases for the farm shop
Receiving deliveries, determining prices and unpacking store stock.
Shop sales 2 3 x per week on Mondays, Wednesdays and Fridays (can vary from 30 min to 2 hours, depending on inside or outside harvest time)
Provide monthly purchases and sales report.
Cash Flow Statements:
Update of balance sheet (capital/asset purchases and sales) monthly
Annual value adjustments
Insurance:
Scheduling and attending annual short-term insurance appointment
Update and maintenance of Short-term insurance policy
Submission and follow-up of insurance claims until payment
Schedule vehicle repairs once claims are approved
Training:
Provide training to employers as and where required. E.g. Diesel Control System, Attendance Register, Checking Deliveries etc.
Identify deficiencies in employees and provide the necessary training.
Training and assistance of office assistant or any other person who helps out with administrative tasks in the office.
General Administration:
Arranging, attending (if requested) and taking minutes of meetings
Filing
Respond and provide feedback on emails, WhatsApps and letters
Record keeping of employee database
Handling of directors' personal affairs as requested
Renewal of all vehicle licenses
Any other administrative tasks as required

Maintain open communication and good working relationships
