Job Description

Habitat XR is a multi-award-winning Johannesburg-based immersive company with a burning mission: to democratise access to nature using immersive technologies.



We work with non-profit conservation organisations, government agencies, and philanthropists, as well as produce our own immersive environmental education experiences. Using forms of media like virtual reality, augmented reality, and holograms, we have produced immersive work from the savannah of the Kruger to the jungles of Rwanda, the springs of Yellowstone to the peaks of the Himalayas filming snow leopards. We have worked with large organisations like National Geographic and small ones; we have worked with private philanthropists and celebrities like Ellen DeGeneres.



We are on the lookout for an ultra-organised, problem-solving office manager to bring energy and efficiency to our workspace in Parkhurst, Johannesburg. If you love keeping things running like a well-oiled machine--whether it is coordinating suppliers, managing logistics, or making sure the coffee never runs out--this role is for you! You will be the go-to person for all things office-related, creating a seamless, well-maintained, and inspiring environment for our team to thrive.

Your responsibilities will include, but are not limited to:



Office management

Answering calls and greeting visitors to the office.

Ensuring a tidy and well-organised office space for the entire team.

Managing office supplies and procurement, tracking inventory, and placing orders as needed (e.g. kitchen and bathroom supplies).

Sourcing high-quality suppliers and liaising with them to ensure seamless operations (e.g. team uniforms, office artwork, building contractors, and any special suppliers needed for projects).

Handling shipping, receiving, and logistics for company- and client-related items.

Ensuring building maintenance, repairs, and cleaning schedules are maintained (we have a part-time gardener and part-time cleaner who you would directly manage).

Supporting the onboarding of new employees with office-related setups (keys, desk space, IT coordination, office tours).



Production assistant



Working alongside our producer(s) and production managers in the production department, you will:

Assist the producer with any project-related administration, procurement, or planning.

Manage basic expense tracking and vendor invoices for projects.

Handle staff requests for our wellness programme and PDP.

Coordinate team lunches, small and big excursions, and occasional company events.



Executive assistant to the CEO

Coordinating and booking travel itineraries.

Handling ad hoc errands, purchases, or drop-offs.

Managing administrative and miscellaneous requests that support the CEO in their daily professional and personal workload.



We are looking for someone who is:

Extremely organised - able to keep an overview and manage various responsibilities simultaneously.

A proactive problem-solver - takes initiative and can anticipate office needs.

An excellent communicator - able to liaise professionally with vendors and team members.

A team player - able to work with all departments including creative, technical, and production teams, promoting positivity and collaboration.

Detail-oriented - ensures smooth office operations with minimal oversight.

Comfortable with our tech stack - using Google Workspace, Trello, social media platforms, Wave Accounting, Uber and courier apps, and being willing to understand our immersive technologies.

Experienced in office management, administration, or operations.

Experienced as a PA - able to support our CEO with various tasks.
