Nova Pioneer is looking for a superstar Operations Associate to ensure the smooth running of everyday process and provide logistical and administrative support to our Midrand campus. We are looking for a meticulous and self-driven individual who is excited about working in a fast-paced environment.

ABOUT THE ROLE

The Operations Associate will be responsible for Operational and Facilities management at our Midrand campus. The Associate will ensure that support services such as security, water, and electricity supply; maintenance of buildings and grounds; procurement of resources; and management of third-party vendors to the school are provided in an efficient and effective manner so that the school is well-equipped to meet the learning and social needs of our students as well as the professional needs of our teams.

The Operations Associate will report to the Head of School / Associate Dean of Operations

Your responsibilities include:

In partnership with the School Leader and the Dean of Operations, the Ops Associate will be support in a broad range of operational needs, including but not limited to:

  • Operational and Facilities support at our campus..
  • Support services such as security, water, and electricity supply; maintenance of buildings and grounds; procurement of resources; and management of third-party vendors to the school are provided in an efficient and effective manner so that the school is well-equipped to meet the learning and social needs of our students as well as the professional needs of our teams.
  • Serve as the go-to person when it comes to running the campus, including resource management, cleanliness, maintenance & repairs, facilities management, and utilities
  • Support third-party vendors (e.g., aftercare, uniform suppliers, extramural suppliers, etc.) including keeping minutes of all meetings and records of agreements reached
  • Inspect the building and other structures to determine functional systems and detect malfunctions in need of repair
  • Support procurement of and oversee regular audit of schools academic resources (e.g., textbooks)
  • Support systems for organising student data and ensure school is compliant with government and Nova Pioneer expectations
  • Create and project-manage maintenance (planned and unplanned) in line with budget
  • Support the organisation of events on campus (e.g. Parent Meetings, Open Days and Sports Days), including staffing, logistics, and catering needs
  • Procure materials and build relationships with suppliers to ensure schools have the necessary materials to deliver high-quality results
  • Work with different teams across the network to forecast needs and acquire supplies, equipment and/or machinery necessary to ensure efficient operations and to manage delivery times and expectations
  • Produce regular and ad hoc reports and analysis of activities and programmes, and perform general office administrative and clerical duties, including reconciling payments hand receipts to various parties on time
  • Supervise Facilities staff members to ensure quality delivery of services within the expected time
  • Ensure that the required IT support is provided
  • Manage and be responsible for Health & Safety at the school
  • Occasionally work weekend/after hours as needed
ABOUT YOU

Required qualifications:
  • You have a minimum of 3 years working experience in an Operations/Facilities or similar role
  • Project management experience in a professional or school- based environment
  • A Technical Qualification is beneficial for this role

  • You are computer literate and proficient in email, document, and spreadsheet use (Project Management skills would be an added benefit)
  • You have strong administrative skills
