Job Description


The roleMAIN DUTIES AND RESPONSIBILITIES
Supports the Senior Business Manager in all aspects of the role, including:
Reports, Data & Analysis

  • Preparing the quarterly reporting template for member firms for circulation by the Senior Business Manager
  • Monitoring responses and follow-up where required
  • Assisting with the first set of checks
  • Sending them back to member firms after all the checks have been completed and following up for updates
  • Following up on the inter-Africa referrals data with the receiving firms for information completeness
  • Follow-up on the pitch reporting and key client data on behalf of the MBD team and consolidate it ready for analysis
  • Consolidating the data from the 18 member firms ready for analysis
People updates
  • Send out the monthly email reminder with the Microsoft forms links to member firms
  • Monitor responses
  • Review data for discrepancies and follow-up on corrections as necessary
  • Send out quarterly data back to the member firms for confirmation
Distribution Lists, Collaboration & vRooms
  • Ensure that the Global Address List is continuously updated with starters & leavers
  • Administration of all Distribution Lists and vRooms relating to DLA Piper Africa
  • Assist with the creation of new distribution lists as may be required
Africa Fund
  • Generate the Notes of Amount due
  • Keep track of payments and update master schedule as and when each payment received
  • Reconcile to bank account as when each payment received
  • Update individual statement for each country as and when payment received
  • Liaise with the Treasury team as and when necessary
  • Produce reports and analysis for Committee and Board reporting
Practice Group Alignment
  • Allocating all the DLA Piper Africa fee earners into Practice Groups and sub-groups as required and maintain databases for this.
  • Board, CMP, AGM and Management Team meetings
  • Support the COO with the setting up and all other aspects of the Board, CMP, AGM and Management Team meetings, including producing the first drafts of presentations and other documents as may be required.
Calendar of events
  • Maintain the annual calendar of events
  • Ensure that all meeting requests are up to date
Pole Positioning
  • Support the Ops team to ensure that the content of the vrooms is continuously updated.
  • Assist with queries to and from member firms from time to time as needed.
Regular Contact Firms xe2x80x93 Africa
  • Manage and maintain:
  • the Africa contact firm master data base and contact details
  • the country pages on Pulse for DLA Piper Africa Member Firms
  • the country pages on Pulse for non-DLA Piper Africa jurisdictions
  • Respond to requests for counsel in Africa
  • Keep a record of requests for counsel in Africa and subsequent instructions to the firms
General
  • Support with the set us of meetings with the Africa member firms as required to support the roll-out of operational initiatives
  • Support the COO and Senior Business Manager in all aspects of their roles to ensure the smooth running of their functions
  • Undertake such other matters as may be requested or delegated from time to time
ABOUT YOU
  • A relevant University degree
  • Advanced Word, Excel & PowerPoint skills
  • Ability to analyse data
