We're looking for an

Operations & Systems Lead

to help us simplify, streamline, and scale. You'll work closely with the CEO and senior team to improve how we work, own our internal systems (especially Zoho), and bring structure to our operations so we can grow with confidence.

Preferred start date of 5 May 2025.



This role is ideal for someone who thrives on clarity, loves solving operational puzzles, and has a strong grasp of process, systems, and team coordination.

What You'll Do: Core Responsibilities:



Operations & Workflow Managemen

t

Design and improve internal workflows across departments (e.g. Marketing, Recruitment, Programmes) Lead cross-functional meetings and ensure teams are aligned and supported Maintain internal playbooks, dashboards, and templates Ensure operational accountability and continuous improvement across the org

Systems & Automation



Serve as internal Product Owner for Zoho and other platforms (Notion, Slack, etc.) Coordinate with our technology partners and suppliers to ensure systems exceed our business needs Coordinate sprint cycles, QA testing, and documentation Improve data integrity and user experience across platforms

Financial Coordination (with external support)



Track cashflow, budgets, and financial dashboards Collaborate with external accountant and advisors on compliance & reporting Prepare board packs and financial insights for leadership Manage payroll tracking and expense processes

What You'll Bring: Essential Skills & Experience



2-5 years of experience in operations, systems, or project management Strong experience designing workflows, implementing processes, and solving ops bottlenecks Familiarity with Zoho (or similar tools like HubSpot, Notion, ClickUp, Airtable, etc.) Experience coordinating across teams, working with external vendors, and managing documentation Financial comfort: basic budget reporting, working with spreadsheets, cash flow tracking Strong communicator -- you turn chaos into clarity and plans into action
We're open to candidates who've gained experience through unconventional paths -- lived experience, bootstrapped projects, or freelance work are all welcome.

Bonus Skills (Nice-to-Have)



Experience working in a scaling social impact or mission-driven organisation Prior experience leading knowledge management or digital infrastructure projects Familiarity with tax or payroll coordination (UK context useful but not essential)

Dashboards are live and used across teams to track core value drivers Operational bottlenecks are identified and improved Our Zoho workflows are cleaner, clearer, and well-documented Board packs and reports are submitted with confidence Team members use our internal tools and folders with ease
