ROLE/JOB PROFILEPURPOSEHelp ensure that all office functions and on-line marketing campaigns on Mmilo Tours website, and other sites weadvertise on are executed timeously, efficiently, and effectively.Deal with enquiries in a professional manner to maintain the companys excellent customerservice level.Schedule tour guides attentively and accurately, to align with specific tour requirements; andExecute other administrative tasks for the smooth running of the office, that may be delegatedto you from time to time, timeously, and to the required standard, in order to contributepositively to the expansion of Mmilo Tours profitable revenueREPORTING LINEThis position reports to the Business Owner (BO): Mmilo Tours.REQUIRED KNOWLEDEGE, SKILLS AND ATTRIBUTESBesides a minimum of a recognised National Diploma in Accounting Services, Administrative Management, Logistics Management, Business Information Technology, Tourism Management, or other relevant NQF 6 qualification;

  • Proficiency in English reading and writing skills at the level of Matric 60% pass rate in this language, enabling you to write descriptive and competent English prose and have an extensive vocabulary
  • Demonstrated numeracy.
  • Demonstrated proficiency in all Microsoft Office Programs, Word, Excel, Outlook and have some knowledge of Adobe Photoshop or similar.
  • Demonstrated good working knowledge of social media Facebook, Instagram, X and Linked In will be a necessary asset.
  • Demonstrated knowledge of how WordPress websites and their CMS (Content Management System) works is desirable.
  • A self-starter, able to work unsupervised in a disciplined manner, when needed
  • Able to accept feedback for performance improvement positively, and apply corrective action.
  • Must be punctual.
  • Must adhere to sound ethical values.
  • Must value and practice customer service excellence.
  • Since tourism is a 24/7 business, must be prepared to work Saturdays.
You will be expected to execute many of the following, in consultation with the BOWebsite and Media
  • Familiarize yourself with www.mmilotours.com website functionality in depth, eg. how to add pictures, text, how to use the back-end database (CMS), payment system and how it navigates and interacts.
  • From time to time help in making improvements to
adding information, pages. * Add new Tours, to the Mmilo Tours website, and others, as requested by the BO, or as per your recommendation, with the approval and assistance of the BO.
  • Write attractively described and accurate text descriptions of these tours for Mmilo Tours and other websites.
  • Also add same or similar tours to 3rd party websites as specified by the BO.
  • When images are needed for advertising tours secure appropriate images from Mmilo Tours own image bank, in the first instance, and if necessary, procure them from our guides and elsewhere with copyright restrictions in mind, and learn how to adjust these images, to the required standard, for uploading to our website or other sites where we advertise.
  • Monitor and improve Mmilo Tours on-line advertising campaigns on a regular basis, with budgetary approval from the BO.
  • Monitor and update our social media presence on Facebook, Instagram, TripAdvisor, Linked In
  • Assist and monitor outside providers employed to do Search Engine Optimization and other work such as adding blogs and backlinks aimed at increasing visibility of www.mmilotours.com.
Finding other Advertising Platforms
  • Find and explore alternative advertising platforms, in consultation with the BO.
Answering Enquiries.
  • Answer enquiries from Mmilo Tours website, other sites where we advertise, and referrals by other customers, and enquiries from returning and referred customers.
  • Send tour quotations that result in a high conversion to sales rate.
  • Respond to all customer enquiries within 24 hours of receipt thereof in coordination with BO.
  • Help to compose and design promotional e mails and PDF pages to send to enquirers and prospective clients advertising and describing tours.
Making Reservations and Bookings and scheduling tour guides to execute tours.
  • Make provisional reservations for accommodation and services prior to clients payment for a tour in consultation with the BO.
xc2xb7 When a tour has been paid or part paid by the client make payment or part payments to suppliers that are required within due date via Mmilo Tours bank account and keep up to date records of this. Each tour must have a separate file which contains these records.xc2xb7 Prepare clients vouchers for services paid for such as accommodation, meals, entrances to attractions and activities.xc2xb7 Prepare client invoices, as required.xc2xb7 Enter all bookings when paid on Google diary shared with BO and guides.xc2xb7 Schedule tour guides for tours booked and paid when needed. Contact them by email and phone as much in advance as possible while availability is there.Designing and costing tours and itineraries
  • Assist with costing tours, and with checking of calculations of these costings, as required.
  • Help to design itineraries for clients that are aligned with their requests, logistically feasible, and cost effective for the client, whilst also considering Mmilo Tours requirements for ongoing profitable revenue generating.
Financial Administrationxc2xb7 Keep track of Mmilo Tours tax returns and VAT payments and help to streamline this process.xc2xb7 Prepare a reconciliation at the end of every month, within 3 business days of month end, reflecting income and expenditure for the previous month, and linking invoices and quotations to each item, inclusive of VAT, as appropriate.
