Job Description


We are looking for a highly organized, proactive, and detail-oriented Personal Assistant to the CEO to provide comprehensive administrative and strategic support. This role requires exceptional multitasking skills, discretion, and the ability to operate efficiently in a fast-paced, high-level executive environment. The ideal candidate will have experience in executive support, calendar management, project coordination, and corporate communications, while maintaining the highest level of confidentiality and professionalism in handling sensitive business information.Key Responsibilities? Executive & Administrative Support

  • Manage and optimize the CEOs calendar, scheduling and coordinating meetings across multiple businesses.
  • Screen and prioritize emails, calls, and correspondence on behalf of the CEO.
  • Draft and proofread reports, presentations, and internal/external communications.
  • Prepare meeting agendas, minutes, and follow-up action plans to ensure timely execution.
  • Act as a liaison between the CEO and internal/external stakeholders, including MDs, board members, and key clients.
  • Organize board meetings, strategic offsites, and quarterly reviews.
? Project & Performance Management
  • Track and monitor Key Performance Indicators (KPIs) across various group companies.
  • Support the execution of strategic projects to ensure alignment with corporate goals.
  • Assist in financial tracking, including budgeting, cash flow, and expense management.
  • Oversee cross-company initiatives such as cost optimization and operational efficiency projects.

  • Plan and manage domestic and international travel arrangements for the CEO.
  • Prepare detailed itineraries, including flights, accommodations, and meeting schedules.
  • Handle travel expense processing and reimbursements.
? Confidentiality & Communication Management
  • Handle highly confidential business information related to strategy, financials, and HR matters.
  • Draft high-level correspondence and communications for stakeholders, government entities, and corporate partners.
  • Maintain professional relationships with external stakeholders to support the CEOs engagements.
? Office & Resource Management
  • Maintain digital and physical document management systems for easy reference.
  • Implement and optimize productivity tools (e.g., project management software, communication platforms).
  • Coordinate with HR, Finance, and Operations teams for administrative and operational support.
Qualifications & Experience ? Education:
xe2x9cx94 Bachelors degree in Business Administration, Management, Communications, or a related field.
xe2x9cx94 Additional certifications in Project Management (PMP, PRINCE2), Executive Assistant Training, or similar fields are advantageous.
? Experience:
xe2x9cx94 Minimum 5 years as a Personal Assistant, Executive Assistant, or Chief of Staff supporting C-suite executives.
xe2x9cx94 Experience in a multi-company or group-level environment is highly desirable.
xe2x9cx94 Exposure to financial reporting, strategic planning, and project management is advantageous.Key Skills & Competencies? Technical & Professional Skills xe2x9cx94 Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
xe2x9cx94 Experience with calendar management tools (Google Calendar, Outlook).
xe2x9cx94 Familiarity with project management tools (e.g., Smartsheet, Asana, Trello).
xe2x9cx94 Knowledge of financial dashboards & reporting tools (Power BI, Tableau).
xe2x9cx94 Strong written and verbal communication skills.
xe2x9cx94 Understanding of business operations, financials, and corporate strategy.
