Job Summary The Payroll Administrator is responsible for managing and processing the companys payroll accurately and on time, with a focus on using Sage VIP Payroll.
This role requires an experienced professional with at least 5 years payroll experience, including wage processing, wage clocking systems, and managing leave and shifts.
The ideal candidate must have a solid understanding of the Motor Industry Bargaining Council (MIBCO) Main Agreement, South African labor laws, and be proficient in general ledger reconciliations.
The Payroll Administrator will ensure compliance with the Basic Conditions of Employment Act (BCEA) and Labour Relations Act (LRA) of South Africa, working closely with HR and Finance teams.Payroll Processing:
Process payrolls for all employees using Sage VIP, including calculating earnings, deductions, bonuses, and overtime.
Manage the entire wage processing cycle, including the accurate entry, and processing of wage clocking.
Ensure accurate and timely entry of payroll data in the Sage VIP system.
Prepare and distribute employee paychecks, direct deposits, and pay statements.Wage Clocking Management:
Collect, review, and validate employee time and attendance records from wage clocking systems.
Ensure accurate calculation of hours worked, overtime, and shift differentials based on wage clocking data.
Resolve discrepancies related to wage clocking and employee time records.Leave and Shift Management:
Manage and track leave for both wage and salaried employees, ensuring compliance with company policies and MIBCO Main Agreement.
Administer and process shift schedules for wage employees, ensuring accurate payment for shift differentials and overtime.
Maintain accurate records of leave balances, approvals, and adjustments for all employees.Compliance and Reporting:
Ensure compliance with all South African payroll laws and regulations, including BCEA, LRA, and MIBCO Main Agreement.
Prepare and submit payroll tax filings, including PAYE, UIF, and SDL.
Maintain accurate payroll records and ensure all statutory requirements are metGeneral Ledger Reconciliation:
Perform payroll-related general ledger account reconciliations.
Ensure payroll transactions are correctly recorded in the companys accounting system.
Investigate and resolve discrepancies between payroll and general ledger accounts.Benefits Administration:
Administer employee benefits deductions, including health insurance, pension, and other voluntary deductions.
Coordinate with benefits providers to ensure accurate payroll deductions and contributions.Employee Support:
Address employee inquiries regarding payroll, deductions, tax withholdings, wage clocking, leave, shifts, and other related matters.
Provide guidance on payroll policies and procedures in line with BCEA, LRA, and MIBCO Main Agreement.Process Improvement:
Identify opportunities for improving payroll and wage processing procedures and implement enhancements.
Assist in the development and implementation of payroll policies and procedures.Audit and Compliance Support:
Assist with internal and external audits by providing necessary payroll information and documentation.
Ensure proper controls are in place to maintain data integrity and prevent fraud.Education:
Bachelors degree in accounting, Finance, Business Administration, or related field preferred.
Certified Payroll Professional (CPP) designation is a plus.Experience:
Minimum of 5 years of experience in payroll administration, specifically using Sage VIP.
Proven experience with wage processing, wage clocking systems, general ledger reconciliations, and managing leave and shifts.
In-depth knowledge of the MIBCO Main Agreement and South African labour laws, including BCEA and LRA.
