Job Description

We are seeking a highly organised, proactive, and detail- orientated Personal Assistant (PA) to provide comprehensive support to our Director. The ideal candidate will be a problem- solver with exceptional communication skills, capable of handling a fast- paced environment while maintaining discretion and professionalism.

This role requires a strong multi- tasker who can manage schedules, coordinate travel, handle follow- ups, and act as the Director's right-hand person.

KEY RESPOSIBILITIES:



1. Diary & Calendar Management:

Efficiently manage the Director's daily schedule, meetings, and appointments.

Prioritise and coordinate conflicting schedules, ensuring optimal time management.

Provide daily reminders and briefings to the Director.

2. Follow- ups & Communication:



Act on behalf of the Director to follow up on important tasks, projects, and commitments with internal teams, clients, and stakeholders.

Ensure all emails, messages, and action items are responded to and resolved in a timely manner.

Maintain a clear and professional communication with all parties.

3. Meeting Coordination & Documentation:



Schedule and organise meetings, conference calls, and virtual discussions.

Prepare meeting agendas, take minutes, and distribute action points.

Follow up key deliverables and deadlines post- meeting.

4. Travel & Logistics Coordination:



Book and coordinate travel arrangements including flights, accommodations, and transportation.

Manage visa applications and necessary travel documentation when required.

5. Administrative & Office Management:



Handle confidential documents and sensitive information with discretion.

Perform general administrative duties.

Assist in personal and business- related tasks as needed.

6. Task & Project Management:



Anticipate and proactively address the Director's needs.

Maintain an efficient task tracking system to ensure all responsibilities are met.

7. Lodge Booking & Management Support:



Oversee bookings, inquiries, and guest reservations for the lodge.

Coordinate with the lodge team to ensure smooth guest experiences.

Manage cancellations, modifications, and special guest requests.

Maintain accurate booking records and track payments.

Liaise with hospitality staff to ensure the lodge operates efficiently.

Assist in promoting the lodge by handling customer communication and inquires.

KEY SKILLS & COMPETENCIES:



Outstanding communication skills (verbal and written). Exceptional organisational skills with a high level of efficiency. Strong computer literacy - proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Proven ability to multitask and work under pressure in a dynamic environment.

Professionalism, discretion, and confidentiality in handling sensitive matters.

Attention to detail & ability to anticipate needs before they arise. Strong interpersonal skills for liaising with executives, clients, and stakeholders. Proactive, problem-solving mindset with the ability to take initiative.
