To provide operational support to the Executive Office
The role of a PA is to free an executive's time from organizing and administrative tasks so that they can spend maximum time on strategic tasks
RESPONSIBILITIESManagement Support:
Coordinate all Executive meetings
Record all minutes of these meetings and distribute accordingly with action items
Keep a register of all meetings
Manage Executive Office diaries
Identify operational resource and equipment needs and advise senior management for action. Management of all ordering of requirements for the office. Liaising with various service providers and ensuring invoices are paid on time.
Administrative duties:
Providing support to Management and Reporting
Have a strong command of the English language to draft letters on behalf of the management team.
Coordinating events (draft & send event invites, identifying venue, catering, do costing, manage RSVP lists, liaise with suppliers (catering, etc.).
Act as a brand ambassador for Salt EB, always ready to go the extra smile for, members, clients etc
Attend Trustee meetings as the representative of the company to ensure minute taking and that issues and decisions are escalated to the correct departments within SALT to execute. Follow up on these minutes and actions with relevant managers.
Transcribe, proofread, and file documents before deadlines.
Acting as a first point of contact: dealing with correspondence and phone calls
Managing diaries and organising meetings and appointments, often controlling access to the manager/executive
Reminding the manager/executive of important tasks and deadlines
Typing, compiling and preparing reports, presentations and correspondence
QUALIFICATIONS
Matric certificate or higher education
Good command of English
Communication Skills
Working knowledge of Microsoft Office packages especially Microsoft Excel, Word, PowerPoint, and Outlook.
