Diploma / NQF level 6 in Office Administration or relevant qualification
3 to 5 years experience as an Executive Assistant
Experience working with finance departments, particularly in handling Purchase Orders (POs).
Should be proficient in the MS Office Suite, especially Outlook, as the role involves supporting the Head of HR with diary management.
Must have experience in making travel arrangements.
Must be comfortable taking minutes and preparing Word, PowerPoint, and Excel documents.
Responsibilities
Create and manage the calendar for the financial year.
Schedule meetings in all relevant stakeholders' diaries and co-ordinate the logistics of the meetings, including catering, travel arrangements, accommodation etc.
Assist line manager with the management of their diary and availability to attend meeting
Manage routine office tasks such as administration, filing, invoicing, stationery and other day-to-day support services
Escalate urgent matters to relevant stakeholders and follow-up to provide feedback to line manager
Ensure that all clients are treated professionally and with courtesy
