A leading medical practice in Limpopo area is seeking a dynamic Practice Officer to join their team and contribute to the efficient and effective management of their practice operations.Job Summary:You will be responsible for overseeing the daily operations of the medical practice, ensuring optimal patient care, financial operations, staff supervision, and operational efficiency. The ideal candidate will bring a combination of management expertise, exemplary work ethic, able to thrive under pressure, driven and flexible to adapt to a constantly changing environment.This position requires a mature candidate with a professional appearance and the ability to connect well with a diverse clientele. The nature of a medical practice is unpredictable at times and unscheduled medical emergencies sometimes require staff to be available outside stipulated working hours. We attempt to minimize this however the ideal candidate would be someone who can accommodate this when the need arises. The implications of this in a family structure should be carefully considered before applying for this position. The owner is a dynamic, highly functional, and efficient individual with impeccable work ethic. She requires a like-minded individual to compliment her work and ensure the quality of service she has become known for is always maintained.Key Responsibilities:

  • Be present in office hours which is weekdays from 7:30 to 17:00 and be prepared, with prior arrangement and only occasionally, to work one Saturday per month 8:00-13:00.
  • Oversee daily practice operations, including patient care coordination, scheduling online diary, and ensure accurate billing.
  • Respond to enquiries on "Whatsapp" and stay in possession of the practice cell phone when the owner is away traveling for work.
  • Prepare and submit quotations for patients.
  • Provide dosage schedules from a template, scan patient records, and file relevant documentation.
  • Prepare patient orders and arrange for courier services when needed.
  • Manage financial aspects of practice operations including billing and receiving of funds
  • Liaise with the practice accountant monthly which includes uploading of all required documentation relevant to "month-end" services.
  • Stock control, monitoring inventory and placing of orders with suppliers AND Purchase office consumables.
  • Supervise and mentor staff, fostering a collaborative and high-performance team environment.
  • Proficient in planning, implementing, and reporting on business operations to the owner. The owner currently travels monthly for work related projects to different provinces.
Qualification:
  • A qualification in Business and/or Project Management
  • Highly organized with the ability to multitask and prioritize with keen attention to detail
  • Advanced Proficiency in MS Office, particularly with Excel, including V-lookups
  • Proficiency in Xero. This is used for patient billing and quotations and not for accounting purposes.
  • Strong competence in managing administrative and financial tasks.
  • Effective management of client and supplier relationships.
  • Skilled at overseeing logistics and courier services.
  • Language Skills: Fully bilingual in Afrikaans and English.
