Job Description


Unitrans is seeking a proactive Procurement Coordinator to streamline purchasing processes and ensure timely procurement of goods and services. The ideal candidate will possess strong negotiation skills and a keen eye for cost-saving opportunities.Under direct supervision, assists in the placement of purchase orders. May follow up with vendors regarding order status.
Responsible for inventory records and general administration in the buying/procurement division. Compiles records of items
purchased or transferred between departments, prices and deliveries
Minimum Requirements

  • Required qualification: 4 year Degree / NQF level 7
  • Years of experience in a similar role: 4 years or more.
  • A sound understanding procurement coordination
  • Ability to work meticulously with a lot of moving processes
  • Understanding of the clearing and forwarding processes within Africa
  • Ability to clearly articulate information and communicate findings up the line
  • Ability to work in harmony with a dynamic team
  • Familiarity with seasonal products and requirements

Duties & ResponsibilitiesPurchasing
  • Coordinate with buyers and stores for the delivery planning and receipt of goods into the parts distribution centre.
  • Provide oversight for open orders to buyers to effectively manage aging orders for business.
  • Coordinate exports from South Africa through the Distribution centre and 4PLs for order expedition
Supplier Onboarding and administration
  • Be the first line of support to operations, coordinating the onboarding if applicable and presenting preferred suppliers
preventing duplication of suppliers.
  • Facilitating the onboarding process with business for prompt activation
RFI / RFQ and RFPs
  • Administratively provide support and coordinate the various requirements in the processes for each leg of the tender
process.
  • Consolidate data, submittals, and file submittals.
  • Coordinate communication internally and externally, the tender process to completion.
Purchasing Support
  • Assist buyers with pricing updates and uploads of price files centrally and to business. Supplier updates and
removals in accordance with category managers needs and requirements
Internal Customer Engagement
  • Create an effortless environment for operations and internal customers for pricing, supplier on onboarding, ETA
(estimated time of arrival), and back-order management.
  • Update and make a visible order management to operations daily, weekly monthly.
Reporting
  • Assist Inventory assistant with ensuring GRN and 3-way match processes are complete for day end.
  • Report on daily receipts and back orders for invoicing to FM of procurement daily.
  • Coordinate with stores cross dock requirements for emergency orders and expedition with supply.
