Reporting to the Project Manager: Western Cape Intervention (WCI), the Programmes Administrator will play a pivotal role in supporting the WCI and Production Teams and ensuring smooth coordination of administrative activities related to Professional Learning Communities and the Production unit's deliverables.

Objectives of Role
Professional Learning Communities (PLCs) Support
Track and record attendance and participation of PLC sessions.
Maintain accurate records of PLC activities, venues, and deliverables.
Assist in preparing materials for PLC workshops.
Take minutes during PLC meetings and ensure action plans are documented and followed through.
Organize and archive PLC photos and reports on SharePoint.
Administrative & Office Support
Handle stationery purchasing and stock management for the WCI.
Organize courier requests and maintain storage records.
Assist with keeping SharePoint files structured and easily accessible.
Maintain storeroom organization, including packing and labelling of training materials.
Provide general administrative support to ensure efficiency in daily operations
Production & Finance Support
Assist with minute-taking and action tracking for production-related meetings.
Schedule and coordinate meetings for the Production team.
Support invoice processing and ensure correct documentation is maintained.
Organize and manage storage of production-related materials and resources.
Provide admin support in logging Shiriki tickets related to Technology & Finance queries from the Consultants
team members. Provide logistical support e.g. Pilot observation in classrooms, also author workshops and other school visits if
necessary.
Logistics & Event Coordination
Assist with preparation of logistics and couriering materials to schools timeously.
Support in planning and executing key training sessions.
Liaise with the Travel Logistics and Events Coordinator in relation to conferencing, eventing and travel activities
for the WCI/Production teams.

Experience and Qualifications

Diploma or Bachelor's degree in Business Administration, Project Management, Social Sciences or related field.
Minimum 3 years' experience within philanthropy, education or development sector.
Strong administrative, organizational, and communication skills to ensure smooth organization of activities
