Job Description

Position:

Project Assistant

The project assistant will provide project deliverables and finance support to project manager. Responsible for supporting project engineers of financial processors and systems and administration duties. Acting as an interface between the finance team, service project engineers and project manager.

Qualification and Experience:



Min. 3 years relevant administrative experience

Excellent communication skills

Good computer skills

Good Excel, Word and Outlook skills

Knowledge of international equipment logistics

Project Assistant Duties and Responsibilities:



Work collaboratively with the project manager and team to maximize productivity

Collaborate with the whole project team, contributing to the entire project lifecycle.

Organize and monitor schedules and see that deadlines are met.

Co-ordinate efforts within the team and with outside consultants efficiently

Report updates verbally and in written form to projects team.

Monitor budget and help ensure resources are used efficiently.

Help discern requirements and assign tasks to team members.

Complete any necessary administrative tasks, such as research and emails.

Demonstrate commitment to clients' needs and confidentiality continuously.

Provide local support in identifying and implementing efficiencies across the region for purchasing.

Support project manager and team in providing required information to the Financial Controller.

Analyse client feedback submissions and support Project Manager in attaining feedback returns.

Co-ordinate all logistic requirements needed by the projects team.

Co-ordinate all personnel logistics required for projects team locally and internationally.

Office Administrator Duties:



Typing duties as required

Archive, implement and maintain filing system

General office duties as required,

Assist with incoming and outgoing invoice system if needed.

Create and track purchase orders

Track and manage supplier invoices

Manage all incoming and outgoing logistical requirements for projects

Assist other department managers when needed with administrative duties

Maintain confidentiality of correspondence as advised by project manager.

Specific Additional Duties:



Actively participate in adherence to and improvement of the company Management System on Quality and HSE related issues

When applicable, be available for temporary substitution of other positions in the company

Implementation of Company Policy

Ad hoc duties as required from time to time

Co-ordinate social activities
