Responsible for ensuring the smooth operation of the projects and online sales teams by managing administrative tasks, coordinating activities, and providing support to staff members. This role requires excellent organisational skills, attention to detail, and the ability to multitask in a fast-paced environment.
KEY RESPONSIBILITIES:
Administrative Support
Maintain and update office records, files, and databases.
Prepare and distribute memos, reports, and other documents as needed.
Respond to emails and prepare documents, including office correspondence, minutes of meetings, memos, and presentations as required.
Scheduling and Coordination:
Manage and schedule meetings, appointments, and events.
Coordinate travel arrangements for staff members.
Assist in planning and organizing office events and activities.
Event planning and coordination.
Marketing and Promotional Activities:
Liaise with various departments on new marketing material, products, and campaigns as required.
Assist in the execution and coordination of marketing campaigns and promotional activities, meeting any deadlines as required.
Work closely with various departments in relation to administrative duties as applicable.
Assist in editing content and spell checking for marketing materials where necessary.
Help ensure all marketing materials align with the brand's voice, image, and messaging.
Communicate and collaborate with external vendors, partners, or agencies when needed.
Provide general administrative support, including organizing meetings, maintaining marketing calendars, and managing digital files.
Project Management:
Ensure all stakeholders are informed about project progress and changes.
Assist in ensuring that all project tasks are completed within the set deadlines by monitoring project schedules and timelines as necessary.
Sales Support:
Provide sales and administrative support for the international sales department and the full office complement, assisting them in ultimately growing the customer base and growing the business.
Completion and submission of listing documents across overseas accounts and customers.
Cross-checking of pricing, barcodes, and other details in line with products on the market.
Promote customer satisfaction and assist in maintaining relationships.
Online Presence:
Maintain and enhance the company's online presence.
Website administration, including loading new products, updating web pages, and ensuring accurate product information.
Monitor online presence by identifying outdated information across websites.
Facilitate the onboarding of new suppliers and brands by gathering relevant information.
General Duties:
Manage the barcode allocation process.
Support sales and marketing activities, including preparing for sales and assisting with reporting.
Ensure weekly sales are forecasted and implemented correctly.
Perform general ad-hoc tasks as required.
Monitor and ensure accurate product information online and across websites.
KNOWLEDGE AND EXPERIENCE
Matric
Relevant diploma or degree an advantage.
At least 3 years relevant experience
Proven experience in an administrative or office management role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
