Property Administrator & Customer Service Specialist - Lettings & Tenancy Support
Location: Remote | Full-Time | 9am-6pm UK, alternative Saturdays

Property Administrator and Customer service Specialist
to join our clients growing lettings team and be the backbone of their operations - from tenancy agreements to compliance, and everything in between.
Key Responsibilities:
Serve as a first point of contact for tenants and landlords - via phone and email
Manage tenancy agreements, renewals, and move-ins via
Alto CRM
Keep on top of compliance: gas safety, EPCs, EICRs, and all property certificates
Send professional emails to relevant authorities and stakeholders
Conduct outbound calls for tenancy negotiations and general support
Handle daily property admin duties, plus key annual checks and renewals
Ensure all data is accurately maintained and updated in the CRM
Support with onboarding of new tenants and landlords
Coordinate and negotiate tenancy renewals with confidence
General property admin support to ensure smooth operations

Experience with CRM systems

Requirements:
Proven experience in property administration or lettings support
(3+ year preferred)
Confident handling high volumes of inbound and outbound calls
- strong phone manner is essential
Familiarity with property lettings processes
, including tenancy agreements, renewals, and move-ins
Experience using CRM systems

Strong organizational skills
- ability to manage multiple tasks, deadlines, and admin workflows
Excellent written and verbal communication skills
- professional tone with both tenants and landlords
Ability to handle compliance documentation
such as gas safety certificates, EPCs, and EICRs
Comfortable negotiating tenancy renewals
and liaising with clients regarding contract terms

- able to work independently and solve problems without micromanagement

- especially when dealing with legal documents and CRM data
Team player
- willing to support colleagues and contribute to a smooth-running office
Strong computer literacy
- comfortable using email, calendars, shared drives, and databases

Willingness to learn
- full training is provided, but a positive attitude is key
Hardware Requirements:
Own computer or laptop.
ADSL/FIBRE internet line with a minimum of 50 Mbps.
Headphones for use with our VOIP phone system.
Anti-virus installed.
UPS/Back-up battery for load shedding.
