This position reports to the Property Portfolio Manager and will assist the Property Portfolio Manager with her duties.KEY DUTIESADMINISTRATION

  • Manage the office stationery, consumables and inventory.
  • Arrange the printing, posting or courier of documents.
  • Assisting with stakeholder queries.
  • Assisting the Property Portfolio Manager in respect of any work or function to be undertaken on behalf of the Body Corporate by outside contractors or service providers.
  • Other admin functions as required from time to time.
SECRETARIAL
  • Attending to agendas, proxies, voting slips, nominations, drafting and typing of meeting minutes.
  • Levy Increase letter to be distributed to owners within 14 days of AGM
  • AGM notices distributed within regulatory timelines
  • Client requests and queries to be addressed within 2 days of receipt thereof.
  • Storing and Maintaining:
  • Minutes of meetings and minute books
  • Resolutions
  • Attendance registers
  • Register of members, sectional title bond holders and attendance register
  • Participation Quota of each member
  • Conduct and Management rules
  • Insurance policies
  • Permanent relevant records of the Body Corporate / HOA Employee records
  • Preparing and dispatching of all notices to members of the Body Corporate / HOA.
  • Compilation, typing and distribution of circulars and/or newsletters (as collated by trustees).
  • Adherence, compliance and ensure up to date with all Regulatory rules and regulations as well as conduct and management rules.
MINIMUM REQUIREMENTS
  • Matric
  • Previous experience in any of the above duties will be to the candidates advantage.
  • Reliable Transport
