Job SummaryAre you ready to lead and grow a new Property/Facility Management division? We're seeking a proactive manager to oversee a portfolio of properties, ensuring top-notch maintenance, managing tenants and service providers, and driving team success. If you have the experience and financial acumen, this might be the role for you.Requirements:

  • Proven experience in a service-oriented environment, particularly within property management, client liaison, and operations
  • Experience with new developments and property acquisitions
  • Strong financial acumen and ability to manage budgets
  • Demonstrated ability to drive solutions and achieve results
Key Responsibilities: * Property Maintenance and Management
  • Implement and oversee guidelines and processes for effective planning and execution of repairs, maintenance, renovations, and construction work
  • Communicate construction and renovation schedules, manage contingency plans, and assess risks with relevant stakeholders
  • Distribute and manage maintenance workload to ensure optimal property upkeep within approved budgets
  • Evaluate quotes and authorize works in alignment with budgetary constraints
  • Issue job cards for approved quotes and scopes of work, ensuring timely execution
  • Monitor daily progress of tasks, ensuring adherence to timelines and milestones
  • Report any risks, non-compliance, or property damages to management
  • Notify Facility Management (FM) of tenant renewals, cancellations, and new rental properties
  • Liaise with real estate agents on potential properties as directed by management
  • Manage and report on the movement, redundancy, damage, or replacement of assets, ensuring accurate records in the Fixed Asset Register (FAR) and inventory lists
  • Safeguard assets through security systems, appropriate insurance, and compliance with zoning, environmental, and other regulations
  • Securing and Managing Service Providers and Tenants
  • Independently manage and resolve site-related issues
  • Provide solutions to complex business problems within the scope of responsibility
  • Participate in setting strategic goals for the division
  • Continuously evaluate and manage preferred service providers to ensure delivery, performance, and compliance
  • Negotiate pricing, review service level agreements, and address any areas of concern
  • Oversee tenant onboarding and exit processes
  • Vet and approve new tenant applications
  • Implement and enforce house rules and maintenance protocols to resolve tenant queries
  • Develop and enforce rental collection protocols, managing non-payment and evictions in accordance with legislation
  • Resource Management
  • Implement plans to minimize downtime of critical services
  • Ensure recurring property services (e.g., cleaning, pest control) are maintained
Support Responsibilities:1. Budget Management
  • Propose and manage budgets for the upcoming financial year
  • Monitor expenditure against budget, flagging potential overruns in advance
  • Obtain and review multiple quotes for larger projects, seeking cost-saving opportunities
2. Team Collaboration
  • Demonstrate excellent supervisory skills and actively support team goals
  • Participate in and contribute to team meetings, sharing knowledge and skills
  • Be receptive to feedback and collaboratively plan and execute projects
  • Take full accountability for assigned tasks, ensuring continuity and effective management during periods away from the office
