Montague Gardens Department: Human Resources Reporting to: Senior Recruitment PartnerDiploma or Degree in Human Resources, Business Administration, or related field.Experience: 2-4 years in HR administration or recruitment coordination.The HR & Recruitment Administrator will provide comprehensive support in HR administration and recruitment functions. The role involves managing employee records, recruitment coordination, HR communications, and compliance-related tasks to ensure smooth HR operations.Key Responsibilities:Employee Records & HR Administration
Process new employee requests and inform IT and Finance of new hires.
Maintain accurate employee records and update HR systems (HR Focus).
Draft and process employment-related letters and contracts (promotions, transfers, salary changes, secondments).
Ensure all employment changes are captured on HR Focus and submitted to payroll.
Monitor secondments and ensure timely renewals.
Assign correct job grades and OFO codes to new hires.HR CommunicationsSend out daily birthday emails and update birthday lists for local and international branches.
Coordinate long service awards, including verification, certification, and payments.
Ensure employees receive timely communication regarding their tenure milestones.
Recruitment & SelectionMaintain and update candidate databases.
Conduct screening interviews and complete interview guides.
Manage assessments and ensure timely updates of candidate results.
Coordinate criminal checks, reference checks, and compliance documentation.
Provide constructive feedback to unsuccessful candidates.
Prepare and issue employment contracts and onboarding documentation.
Assist in general recruitment, mainly for Supply Chain and Telesales.
Collaborate with hiring managers to draft job descriptions and source candidates.
Schedule interviews and participate in interview processes.
Ensure salary budgets are confirmed before issuing offers.Internal Vacancies & sDraft internal vacancy postings.
Create new job profiles in collaboration with line managers.
Maintain and update job descriptions as required.Probation & Employee Check-insTrack probation periods for all new hires.
Schedule and document probation review meetings.
Report probation check-in progress to the Head of HR.Skills Development & Training CoordinationWork alongside the Skills Development Facilitator (SDF) to source training providers.
Manage training bookings and confirm approvals with HR leadership.
Maintain training records and reports for BBBEE compliance.
Assist in sourcing graduates for SETA-funded internships.General HR Support & Adhoc DutiesManage and redirect recruitment emails.
Maintain and update organizational charts.
Provide administrative support for HR projects and audits.Skills:Strong organizational and administrative abilities.
Excellent communication and interpersonal skills.
Proficiency in HR systems (HR Focus, SAP, SuccessFactors preferred).
Ability to work independently and manage multiple priorities.
Knowledge of labor laws and HR best practices.Competencies:Attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.
Strong problem-solving and decision-making skills.
