The successful incumbent duties and/or responsibilities include, but is not limited to:
Rental Administration:
Vetting of all new applications.
Ensuring all FICA documents are received and correct.
Requesting criminal clearance for applicants.
Complete credit checks: TPN.
Reference checks: rental and employment.
Once checks are completed and the landlord signs off on the application, draft leases on QuicklySign and send them to tenants and the landlord for signature.
Draft and issue letter of demands for rentals and utilities not received by the 7th of the month.
Draft and send CPA notices for renewals and non-renewals.
Draft and send renewal leases on Quicklysign.
Load in-going and out-going inspections on RedRabbit.
Load new assets on RedRabbit.
Assist agents, if needed, with deposit release and submitting documents to the financial department.
Update weekly reports of all applications received and their status.
Draft and send any addendums needed for leases (new occupants, change of payments, etc.)
Once leases are signed, send all information to the financial department for invoicing.
PayProp.
Sales Administration:
Run through sales agreements with agents, ensuring all initials and signatures are correct.
Ensure signed sales agreements and supporting documents (FICA) are sent to transferring attorneys and the bond originator, when required.
Follow up with progress of bond approvals and transfers.
Request commission invoiced from the financial department.
Draft and send payment requisitions.
Ensure sales reports are up to date.
Office Administration:
Ordering of stationery.
Ordering of groceries.
Control of all invoices received for the office - send payment requisitions and invoices to the financial department before cutoff dates each month.
Any other office admin requested by management.
Organising birthdays, gifts, and end-of-year bookings.
