The Coordinator: Research Publications provides critical support to researchers in the preparation, formatting, and submission of scholarly publications
This role ensures that all manuscripts meet the required guidelines and standards set by journals and other publication venues
The administrator also manages the submission process, coordinates with publishers, and maintains records of publications
Location:
Ezintsha, Parktown - Johannesburg
Key performance areas:
Assist researchers in formatting manuscripts according to specific journal guidelines
Ensure adherence to citation styles (e.g., APA, Vancouver, MLA, Chicago)
Coordinate with authors to obtain and incorporate necessary revisions
Handle the electronic submission of manuscripts to journals and conferences
Track submission statuses and communicate updates to researchers
Coordinate and where possible address and resolve submission-related queries and issues
Ensure all publications comply with institutional and funding body requirements
Maintain records of all submitted and published works
Assist in the preparation of necessary documentation for compliance reports/audits (e.g. NIH RPPR)
Coordinate with co-authors and collaborators regarding publication requirements and deadlines
Organize and conduct workshops or training sessions on publication procedures and best practices for emerging researchers and students wanting to submit research manuscripts
Prepare and distribute reports on publication metrics and submission statuses (e.g. for RINC, WHC annual report, Ezintsha website, Ezintsha dashboard)
Manage publication-related inquiries from researchers
Liaise with the relevant procurement staff to ensure journal payments
Maintain up-to-date knowledge of journal submission guidelines and standards
Support researchers with literature searches
Required minimum education and training:
Bachelor's Degree in English, Communications, Library Science, or a related field
Advanced Degree preferred
Required minimum work experience:
Prior experience in academic publishing, research administration, or a related field
Minimum 5 years' experience with manuscript preparation and submission processes
Desirable additional education, work experience and personal abilities:
Proficiency in using manuscript preparation software and tools (e.g., Microsoft Word, LaTeX, EndNote)
Strong understanding of various citation styles and formatting guidelines
Excellent organizational skills and attention to detail
Strong communication and interpersonal skills
Ability to manage multiple tasks and deadlines efficiently
Familiarity with the academic publishing landscape and trends
Understanding of University systems and processes
Ability to work independently and as part of a team
Strong problem-solving skills and ability to handle complex queries
Commitment to supporting researchers and enhancing the quality of scholarly publications
