Job Overview:
As the RFP Project Manager, you will play a key role in managing the process of responding to RFPs, ensuring deadlines are met, and all deliverables are completed on time and to a high standard. You will be responsible for organizing teams, leading the creation of RFP responses, sourcing opportunities, and ensuring that our submissions are competitive. The ideal candidate will be extremely tech-savvy, detail-oriented, and have a strong project management background. You will need to understand tight deadlines and deliverables, be resourceful in navigating multiple portals, and demonstrate expert writing and communication skills.
Key Responsibilities:Pricing RFPs

  • Collaborate with finance, operations, and subject matter experts to develop accurate and competitive pricing and models tailored to RFP requirements.
  • Analyze RFP pricing structures and compliance requirements to ensure submissions meet all financial formatting and contractual obligations.
  • Maintain and update pricing templates and tools to streamline future RFP responses and ensure consistency across proposals.
  • Evaluate competitor pricing and market benchmarks( when available) to inform strategic pricing decisions and increase probability.
RFP Management:
  • Read, interpret, and dissect RFPs to understand all requirements, timelines, and submittal details.
  • Unbundle RFPs into clear deliverables, and ensure that project timelines are set and adhered to.
  • Navigate multiple RFP portals and government/state company sites to extract essential information such as requirements, deadlines, submittal dates, and updates.
  • Be able to handle both simple RFPs (plug and play) and complex RFPs (built out from scratch), ensuring a comprehensive and tailored approach to each.
Business Development Support:
  • Source relevant RFPs and identify new portals or websites where our firm can submit proposals.
  • Ensure submissions are made to the correct portals, and that all eligibility and competitive factors are met.
  • Prepare and package all necessary materials, including gathering information across departments and ensuring timely submission.
Team Leadership:
  • Lead RFP projects from start to finish by managing teams, assigning tasks, and providing clear direction to meet deadlines.
  • Allocate resources effectively, ensuring that the right people are working on the right parts of the RFP and that deadlines are met.
  • Collaborate with internal teams to ensure that all components of an RFP response are gathered, reviewed, and ready for submission.
Client Interaction:
  • Run meetings with potential clients and stakeholders to define RFP requirements and ensure that our proposals align with their needs.
  • Communicate effectively with clients, internal teams, and other stakeholders to ensure timely responses and accurate submissions.
Diversity and Compliance:
  • Manage RFP submissions in line with diversity-related business certifications (MBE, WBE, NBE) when applicable.
  • Ensure that proposals reflect the companys diversity initiatives and comply with all relevant certifications.
Process Improvement:
  • Utilize tech tools (including ClickUp or other project management platforms) to track progress, set deadlines, and organize team responsibilities.
  • Continually improve the internal processes for RFP responses and ensure best practices are followed.
Qualifications:
  • Experience:
  • Proven experience managing RFP responses for government (federal, state, city), private, and agency clients.
  • Strong background in business development, particularly within an agency environment (advertising, PR, marketing, or social media).
  • Experience in navigating multiple RFP portals and websites (government and commercial) to extract essential RFP details.
  • Experience managing both simple and complex RFPs, including writing from scratch and assembling plug-and-play proposals.
  • Skills:
  • Tech-Savvy: Expert at navigating dashboards and portals to pull out RFP requirements, submittal dates, and other key data.
  • Project Management: Strong project management skills with the ability to organize tasks, allocate resources, and ensure timely completion of deliverables.
  • Detail-Oriented: Must be extremely detail-oriented with the ability to break down complex RFP requirements and deliverables into actionable tasks.
  • Writing Expertise: Excellent writing skills, both qualitative and quantitative. Able to craft clear, concise, and compelling RFP responses.
  • Deadline-Oriented: A Type A personality with the ability to manage tight deadlines while maintaining high-quality work output.
  • Resourceful: Proactive and resourceful in finding information and managing multiple RFP submissions at once.
  • Tech Tools: Familiarity with ClickUp or other project management platforms is highly desirable.
  • Numerical Fluency: Comfortable with numbers and complex pricing; able to interpret pricing requirements, perform accurate calculations, and translate them into compliant, well-structured pricing responses.
  • Mindset:
  • Ability to thrive in a fast-paced, deadline-driven environment with shifting priorities.
  • Extremely detail-oriented with an "end-to-end" approach to managing RFPs.
  • Must be a go-getter with a strong sense of urgency, committed to meeting deadlines and ensuring that nothing slips through the cracks.
  • Diversity Knowledge:
  • Familiarity with diversity-related certifications such as MBE, WBE, or NBE is highly preferred.
