AGGP_SA is seeking a dynamic and detail-oriented professional to take on the role of Specialist: Convening, Events, and Logistics. This critical role will be responsible for the strategic planning and seamless execution of high-impact convenings, events, and logistical operations that align with AGGP_SA's mission and strategic priorities. The ideal candidate will have strong project management, stakeholder engagement, and event coordination skills, ensuring that all convenings effectively drive collaboration, knowledge sharing, and ecosystem-building within the entrepreneurship and philanthropy sectors. This role requires a proactive and solutions-driven individual who can manage multiple moving parts while maintaining excellence in execution.

Objectives of Role
CONVENING:
Execution of convening strategy that is underpinned by AGGP_SA vision, goals.
Consult with end users (AGGP_SA Units) to compile AGGP_SA annual events calendar within the annual planning timelines set by the AGGP_SA and obtain sign-off and approval by the CEO or other delegated authority within the organisation.
Execute regular maintenance of the annual events calendar to ensure that it is always up to date and in keeping with changes and adjustments to the event schedule.
Deliver support to AGGP_SA's work across the diagnose, demonstrate and dialogue pillars of its strategy in the design and preparation of external stakeholder engagement and other events.
Deliver event and logistical planning support for AGGP_SA major internal events including venue, travel, accommodation, catering and other requirements as may be specified by the event lead.
Provide technical support in the planning, organisation and coordination of AGGP_SA external events and execute provisioning of stakeholder mapping, scheduling, invitations, venue hire, travel arrangements, accommodation bookings, catering procurement, and other requirements as may be specified by the event lead.
SECRETARIATE:
Guided by the approved and updated annual events calendar, plan for the provisioning and delivery of professional secretariate services for AGGP_SA external gatherings including, amongst others, conferences, summits, roundtables, workshops and other engagement formats.
Execute the provisioning of special secretariat services such as recording, transcription, interpretation, including sign language, as may be specified by the user.
Execute provisioning, as may be required by the user, the selection, engagement and deployment of facilitation services that ensure discussions are appropriately and professionally led and directed towards intended outcomes.
Execute event evaluation processes and analyse each event's evaluation results to guide improvement, enhancement and maturity of the convening experience for AGGP_SA users and guests that attends AGGP_SA's events.
Execute the event risk mitigation action plans as provided by the Head: Communications and Convening and the event lead/user.
FINANCIAL MANAGEMENT
Ensure prudent, economic and efficient use of approved operational budget allocated to events and logistics.
In line with our Stewardship Value, exercise value for money judgement in procurement and expenditure.
Ensure expenditure is consistent with approved budget line items and avoid over and unauthorised expenditure.
Comply with applicable financial reporting requirements and timelines.
Take accountability of expenditure related to events and logistics within approved financial delegation of authority.
ANALYSIS & REPORTING:
Analyse trends in events and logistics relating to cost, user experience, quality of service and logistical events including venue, traveling, accommodation, security, protocol, amongst others.
Monitor annual events calendar and schedule of events compile reports within the specified AGGP_SA reporting cycles.
Report to Head: Communications and Convening and participate in AGGP_SA management and staff structures and process on invitation and/or directive of line manager and/or CEO.

Experience and Qualifications
Diploma or Equivalent (NQF Level 6 ) Events, Logistics or a related field.
Up to 5 years in relevant experience.
