Job Description


Starke Ayres is the foremost African specialist and global supplier of premium vegetable, flower and lawn seed varieties both for commercial and home garden planting. The following position has become available for a Customer Service Clerk, based in Gqeberha. The purpose of this role is to provide maximum support to the Companys sales efforts by ensuring that all orders receive personal attention and are processed promptly and efficiently as per customer requirements and as directed by the National Customer Service Supervisor.RESPONSIBILITIES:

  • Customer Service
  • Handle all call in, walk in Customers ,Queries and sales telephonically.
  • Handle switchboard
  • Pods queries ask by head office.
  • Pods scan and linked to POD system
  • Sign off all Route Sheet with Pods received from drivers daily , Route Sheet must be captured on system.
  • Provide customers with product and service information and prices.
  • Assist all call in customers, Process orders, and order in stock if no sufficient stock.
  • Identify and escalate priority issues
  • Follow up customer calls where necessary
  • Document all call information according to standard operating procedures
  • Providing necessary feedback to Sales Representatives/ Customers
  • Motivate innovative methods that ensure customer satisfaction is at the highest level with Supervisor and implement accordingly.
  • Assist with any tasks instructed by Depot Supervisor.
  • Receiving CODs get banking ready for admin Clerk to do banking
  • Posting credit notes to Customers.
  • Weekly check Foils pkts together with Admin Clerk
  • Monthly checking Retail stock together with Admin Clerk
  • Debtors account to be send to Epping Control system in place.
Maintenance of Filing System
  • Maintains existing filing system.
  • Yearly binding all documentation.
Distribution of Documentation
  • Posting via courier or quantum any filing and documents.
  • Photo copying of general documentation.
General * Assists with queries.
  • East London mailing Invoices to customers went sending out via Triton
  • Monthly checklist completion OHS + Fire Extinguishers
  • Monthly vehicle inspection
  • First Aid Representative
  • Assist with end of season receiving physical stock and check stock towards Foil breakdown that credit can be done.
  • Assists National Customer Service Supervisor with General Office Administration.
  • Acts responsibly and professionally at all times, fostering goodwill and a positive image of the Company.
  • Performs add hoc price checks on orders by comparing prices on sales order to pricelist / specials.
  • Perform any other duties as requested by your immediate superior from time to time.
  • Assist with any tasks instructed by Depot Supervisor.
  • Assist weekly with stock counting of all foil packets per reference.
  • Assist with quantum stock receiving and checking stock weekly, yearly
  • Assist with all stock return from customers towards GRV/Claim for Admin clerk to credit.
  • Preparing Daily Cods Cash/ Cheque for banking. Weekly together with Admin Clerk
  • Assist with loading delivery vehicles if necessary.
  • Assist with manually writing Route planning for Drivers if necessary if Admin clerk not available to capture.
  • Coordinating the repacking of damage / Kombat returns.
  • Assist weekly with Quantum
  • Check daily Distribution Down packing Stock on Team check our Depot Stock level and let Supervisor know to order / or you can ask to order
  • Must be fully capable to assist in Credit Notes
  • Checking daily what stock in in transit to our Depot
  • Must be fully capable of doing Route sheet correctly
  • Assist Depot Supervisor with any task
  • Refers all orders from customers on the stop supply list or whose credit facility has been exceeded to the Regional Credit Controller for a decision regarding the course of action.
  • Ensures a regular and pro-active flow of information with regard to the status of orders in the system to all affected company personnel and if necessary to the customers direct, exercising the necessary tack, diplomacy and professional skills the situation may demand.
  • Attends to queries from customers and regional / national Company sales and customer service personnel with regard to the orders in the system promptly and efficiently.
REQUIREMENTS:Qualifications
  • Grade 12 (Essential)
  • Tertiary Qualification (Advantage)
Skills

  • Computer Literate
Experience
  • 2 years as an administration clerk
  • Valid driver's license
