Job Description


We are seeking a highly organized, detail-oriented individual with a strong background in stock control, financial management, and operational support. The ideal candidate will have experience in managing inventory, financial reporting, and ensuring cost-effectiveness within the restaurant industry.The successful individual must be able to step into operational roles, providing leadership when the Head Chef or Operations Manager is absent, ensuring smooth, uninterrupted service. This position incorporates the essential financial management and operational oversight responsibilities, along with the necessary qualifications and traits needed for the role. The position balances the financial aspects with the ability to step into leadership when needed, ensuring both operational efficiency and cost-effectiveness.Key Responsibilities:Stock Control:

  • Manage all aspects of inventory for food, beverages, and non-food items, ensuring accurate stock levels to meet operational demand and minimizing wastage.
  • Conduct frequent stock counts, identify discrepancies, and maintain precise records of stock levels.
  • Implement storage solutions that comply with health and safety regulations, ensuring efficient use of space.
  • Liaise with suppliers to negotiate pricing, arrange orders, and manage delivery schedules, ensuring continuous stock availability.
  • Monitor product shelf life, ensuring stock is used within expiration dates to minimize loss.
  • Identify stock wastage trends and implement corrective actions to optimize stock turnover and reduce financial waste.
Financial Management & Reporting:
  • Oversee cash handling procedures, ensuring accuracy and compliance with company policies.
  • Process supplier invoices, reconciling delivery receipts and maintaining accurate financial records for inventory and operational costs.
  • Collaborate with management to create and track budgets, monitor both revenue and operational expenses, and identify opportunities for cost reduction.
  • Prepare and present regular financial reports (weekly, monthly) summarizing stock usage, financial performance, and cost effectiveness.
  • Support payroll processing by maintaining accurate employee timesheets and ensuring compliance with applicable regulations.
  • Assist with month-end financial closings, ensuring all records are up-to-date and compliant.
  • Investigate and address discrepancies in financial performance, recommending corrective actions when needed.
Cost Control & Analysis:
  • Monitor food and beverage cost percentages, providing actionable insights to improve profitability and operational efficiency.
  • Analyze purchasing trends and stock movements, identifying opportunities for cost savings.
  • Ensure pricing accuracy across the menu, aligning with stock costs to maximize margins.
  • Prepare regular cost reports, making adjustments based on sales forecasts and operational requirements.
Operational Leadership:
  • Step into operational leadership roles, including overseeing daily activities when the Head Chef or Operations Manager is absent, ensuring restaurant operations run smoothly.
  • Assist with staff management, ensuring shifts are filled and operational tasks are carried out efficiently in their absence.
  • Maintain high levels of customer service and operational standards during busy shifts or periods of absence from senior staff.
Compliance and Reporting:
  • Ensure that all stock management processes meet food safety, health, and hygiene regulations, supporting audits when needed.
  • Maintain detailed, up-to-date records of inventory transactions, financial reports, and operational changes.
  • Prepare for audits by ensuring all necessary financial and inventory records are available and accurate.
Skills & Qualifications:Experience & Knowledge:
  • Minimum of 2 years of experience in stock control, finance, or a related role in the restaurant or hospitality industry.
  • Strong understanding of inventory management systems and accounting software (e.g., QuickBooks, Xero).
  • Familiarity with cost control practices and financial reporting within the food service industry.
  • Proven track record in financial analysis and budgeting.
Skills:
  • Exceptional attention to detail and highly organized, with the ability to manage multiple tasks simultaneously.
  • Excellent communication and negotiation skills when dealing with suppliers and internal teams.
  • Strong analytical ability to interpret financial data and recommend improvements.
  • Proficient in Microsoft Excel (or equivalent spreadsheet software) for financial reporting and analysis.
Education:
  • Degree in Finance, Accounting, Business Management, or related field is preferred, though not essential.
Desirable Skills & Experience:
  • Experience with restaurant POS systems and familiarity with payroll or HR functions.
  • Ability to lead teams and step into operational roles effectively when senior staff are absent.
Working Conditions:
  • Full-time position, with flexibility to work evenings and weekends as required, particularly during busy periods.
  • Physical demands may include manual handling of stock and occasional lifting.
  • Potential for leadership in operational roles when key staff members (Head Chef, Ops Manager) are unavailable.
