Supervisor, Distributor Experience & Communications – Southern Africa

Job Description


Your primary responsibility will be to enhance the overall distributor experience by developing and implementing communication strategies that drive engagement, foster strong relationships, and support mutual growth. By leveraging your expertise in stakeholder management and your deep understanding of the Southern African market, you will ensure that our distributors are equipped with the tools, resources, and insights needed to thrive, ultimately contributing to the success and expansion of our business in this dynamic and diverse region.

  • To support the European Sales team with effective and timely communication to Members, regarding local, regional & worldwide promotions, qualifications & training events, taking place throughout the EMEA region.
  • To support local departments including Sales Strategy, Marketing, MPC, Logistics and Member Services with effective and timely communications to members and internally as outlined by these departments.
  • To work closely with the local Marketing group and local Sales on global communications projects and instruct team on new processes, etc.
  • Follow through on projects related to local, regional and global promotions and campaigns as well as initiatives driving the 3 Rs (Retail, Recruit, and Retention) and reporting on these
  • Ensure delivery of high quality members events and experiences

RESPONSIBILITIES AND EXPECTATIONS:Co-ordinate promotional and post-promotional campaigns for Corporate training events:
  • Prepare SMS communication and ET flyers in both MS Word and HTML format & create standard templates to promote special qualifications of local & regional training events. Some need to be completed on a monthly or weekly basis, others simply as required. All flyers must be accurate and professionally displayed, incorporating approved branding; they MUST be proofread and checked thoroughly prior to distribution to ensure there are no spelling mistakes or grammatical errors.
  • Research & devise new methods of promotion and post-promotion for member training events - present project costs and justifications to manger. Once approved, incorporate into a comprehensive campaign plan. Achieve maximum impact from every promotional campaign (e.g. producing high impact email communications, posters, brochures, flyers, postcards and novelty items to promote an event, plus staff cheat sheets and event / qualification Question & Answer documents, etc.)
  • Collate testimonials from Members after each event - using standard formats, make sure the Sales team obtain clear and comprehensive testimonials from Members who attend major Corporate events, to be used for post-promotion purposes & to help promote future events. Proof-read all testimonials - distribute, as appropriate and file for future use
  • Adapt the copy of content for the designated platform while effectively delivering the content (ie: SMS vs digital vs MMS vs ET, etc)
  • Continuously improve on the open rate / delivery of the above content across all communication platforms.
  • Continuously improve on the engagement rate on ETs
  • Provide reporting on all promotional and post promotional campaigns detailing open and engagement rates for ETs. Report on all delivery rates for MMS and SMS communications by campaign.
  • Track growth / decline of subscribers vs unsubscribes. Identify trends or causes for growth / decline of subscribers.
  • Research new platforms for SMS, links and MMS
Events
  • Overall responsibility on the planning & execution of all distributor national & regional events providing guidance to events co-ordinator
Southern African web site maintenance:
  • Ensure Southern African information is posted to the web site as and when necessary and that it is constantly kept up-to-date and that information is easy to find. All key flyers must be posted to the web site, following prescribed procedures including but not limited to maintaining the on-line Product Catalogue, all content, uploading the latest pricelists and Documents and Policies in accordance to EMEA guidelines.
  • Provide support to Distributor Recognition, Promotions & Initiatives Coordinator for relevant pages including but not limited to Customer support tools
  • Coordinate with EMEA MTS team to load and have new product SKUs live for product launches timeously.
  • Effectively be the lead on all website projects, ensuring that deadlines, requirements and process are followed and met.
Periodically review local communications methods:
  • Expand technical communications knowledge including Canva tool provided by company and investigate new technologies & ways that could improve Member communications
  • Set a clear communication plan broken down daily, weekly, monthly quarterly etc.
  • Constantly review the appropriate communication channel(email, telegram, sms etc.) to be used depending on the type of communication to be be executed
  • Develop a clear communication plan by target audience, avoiding target audience duplication & a manageable sequence of communication that creates a great member experience.
  • Work closely with the European sales team, to review efficiency and effectiveness of existing methods of communication in each market (e.g. by carrying out Distributor polls and surveys, etc.)
  • Submit communications statistics to supervisor on a monthly basis (in bullet point format). Include stats on open rate, delivery rates as well as engagement rates. Identify trends and make recommendations for improvement for all types of communications (newsletter, campaigns, promotions, events, OOS, etc)
  • Make specific recommendations, based on the needs of Southern Africa as a whole
  • For efficiency purposes, Create a standard set of templates for regular communication, including but not limited to OOS, public holidays, temporary closing of sales centers, promotion reminders, phone lines down, technological issues, etc)
  • Improve on how members can share key communications
5. Maintaining Communication databases:
  • Adding/changing/deleting names contact details etc. To be carried out on an on-going basis.
  • Ensure all communications channels have the targeted and updated communication lists working closely with members services department to reach the target groups.
6. General Marketing, Marketing Campaigns & Promotions and Product Launch Communications
  • Load marketing communications around product launches, promotions, member communications and other requests as shared by the marketing team and schedule around agreed date / campaign schedule via ET
  • Support marketing communications with SMS / MMS to increase reach y platform
  • Load all new member tools and assets as well as product launch assets and imagery to all member platforms including but not limited to MyHl.com, media bin, etc
  • Send out monthly member newsletter as shared by the marketing team
  • Share reporting on communications with the marketing team.
7. Effective communication to all internal departments
  • Communication on a regular basis to all internal departments of any changes to products, promotional or literature ranges. Share information around member promotions, events, etc
  • Create and communicate staff newsletter on a regular basis to all internal departments.
  • Ensure all departments follow a clearly defined process for submission of communication requests defining clarity of ad hock vs standard items as well as ensuring communication request received reaches all the relevant & targeted touch points/communication channels. (website, telegram, email, sms)
In addition:
  • Follow simple instructions & copy standard formats carefully, with minimum errors
Priorities tasks effectively and work efficiently & independently to meet agreed goals and objectives of the department. * Accomplishes organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Be able to execute and manage key strategies and campaigns as well as oversee and manage all department suppliers relevant to the role.
  • Where possible create a communication plan / calendar across departments year on year
9. Member and Customer App Maintenance
  • Update all relevant information and ensure it meets both local and EMEA policy guidelines
  • Implement Training where applicable on Application usage and potential technical; issues
10. Departmental Communications
  • Co-ordinate with relevant departmental owners and collate all communication requests and delivery communications as agreed upon.
  • Share reporting on departmental communications (open rate, delivery, engagement, etc)
Supervisory responsibility
  • Manages a team of one events-co ordinator
  • Interacts with all levels throughout the organisation, distributors, customers and vendors
  • Drives Innovation around Communication tools, channels and aesthetics
POSITION REQUIREMENTSEducation:
  • Excellent English language (& preferably mathematics) matric
  • College or University education desirable, but not essential
Soft Skills:
  • Confident & personable with good interpersonal skills
  • Communicative, energetic & enthusiastic with a can do approach to tasks
  • Able to work as part of a local and an international team but also independently when Supervisor/Manager is out of the office
  • A self-starter who is able to set their own priorities & take the initiative
  • Ability to multi-task, but still attend to detail and focus on important issues
  • Ability to stay focused when working under pressure in order to meet tight deadlines
  • Excellent administrative & organisational skills
  • Excellent planning and execution skills
  • Comprehensive knowledge of direct selling understanding distributors matrix, Excellent PC skills (Microsoft Word, Excel & PowerPoint - minimum requirements; Desktop Publishing, HTML 5/ web design, Google Analytics, local SMS portals & Exact Target / email platforms)
  • Have an understanding of social media platforms
  • Be proficient in copy writing, content writing as digital copy writing
  • Proficient in campaign planning and execution
  • Able to manage vendors / suppliers / internal team locally and in EMEA on deliverables
  • Ability to multi-task, but still be able to have attend to detail and focus on important issues
  • Ability to stay focused when working under pressure in order to meet tight deadlines
  • Ability to adapt as the external environment and organization evolves
  • Must be prepared to travel occasionally and will therefore need to be flexible in terms of working hours, which will include some evenings and weekends
  • Native language English (additional languages desirable).
Experience:
  • 4+ years experience in a sales-type environment highly desirable (though not essential)
  • Strong experience and understanding in communication output and communication channels
  • Commercial experience displaying proof of strong organizational skills
  • Software experience: thorough knowledge of MS Office essential; experience in HTML / web design & email marketing software highly desirable
  • Design experience or knowledge, working with design platforms or programmes is desirable.
