My Client is a social enterprise operating in Southern Africa.They aim to support and empower farmers and farming communities to climb the ladder towards decent and resilient livelihoods at scale.They do this through a platform that links farmers with reliable and committed corporate buyers.They work together with their partners to ensure fair and predictable pricing, empowering technical support, catalytic financial solutions, and enabling ecosystem interventions.They are seeking a dynamic Supply Chain Administrator to join their team and play a vital role in coordinating their logistics and supply chain operations.Primary function of the position:As the Supply Chain Administrator, you will oversee the administration of their procurement and sales supporting the operations team. The ideal candidate can multitask while maintaining high levels of accuracy and thrives in a high-pressure environment. Your role will ensure efficient inbound and outbound transactions, inventory management, and administer logistics related documentation and ensure compliance with industry standards.Key Responsibilities:Database and Documentation Administration
Complete necessary documentation for inbound and outbound transactions.
Maintain customer and supplier information
Ensure compliance with import/export regulations.
Maintain product pricing and inventory databases and product specifications.
Ensuring creditor payments as captured, reconciled, and processed timeously
Daily processing of invoices and purchase orders.
Accumulate and track crop information per season per Farming Organisation /Supplier and support the team with accurate up to date information for the purpose of tracking performance, live management and future planning.
Assist and maintain company information as requested
Logistics coordination and administration
Capture Purchase Orders based on batch test food safety compliance and approval from Operations manager
Compile Certificates of Acceptance (CoAs) based on original batches, traceability requirements and customer needs
Create invoices for approval
Consolidate documentation per batch and in line with customer requirements, including food safety & QA documentation and certification as well as Impact data where required
Coordinate and administer documentation needs for SARS and SARB requirements for import and export trade.
Facilitate logistics through administration of documents including import & export permits and stock notifications. Ensure documents are updated.
Coordinate product testing and track testing timelines reporting on requesting support where out of acceptable and agreed limits.
Communicate and request corrective action and report on non-compliant product. Document and report rejected stock and recourse.
Stock and Inventory Administration
Track stock movements and warehouse locations.
Compile monthly reports on purchases, sales and inventory.
Liaise with internal departments to ensure smooth process flow of all business processes. Effective and timeous email correspondence to customers and suppliers.
Assist with audit and stock count data supply.
Assist with managing product specification adherence per customer updated in line with seasonal contracting and planning.
Support by timeously sharing product In/out of spec as per testing results.
Track and monitor stock delivery vs forecast and contract and communicate variance weekly
Communication and Support
Support meetings with effective communication between teams and suppliers and customers.
On Time In Full (OTIF) including quality with livelihoods metrics.
Support the Operations Manager with analyses, reports, and stakeholder queries.
Notify and flag risks timeously.
General Administration
Maintain accurate records and support with updating internal policies.
Support and implement administrative efficiency
Coordinate interdepartmental operations and assist in report preparation.
Support overall team with annual and quarterly planning and budgeting.
As part of the team, contribute to and support achievement of company targets
As part of the team, contribute to and support financial management
As part of the team, contribute to and support strategic custodianship of measurement systems and Theory of Change
As part of the team, contribute to and support the team in other company platforms (Incubator, Amplifier).
As part of the team, contribute to and support the team in capturing and documenting the development of impact measurement frameworks, processes and systems.
Qualifications:
Education: Degree or National Diploma in Procurement/Supply Chain (NQF level 6) will be an advantage
Experience: at least 2-5 years administration with logistics, supply chain or related field of administration.
Knowledge:
Intermediate understanding of agricultural supply chains.
Expert knowledge of shipping routes and requirements a distinct advantage.
Familiarity with ESG principles.
Valid driver's license
