Job Description


:A vibrant and dynamic marketing company focused on advertising is seeking a highly detail-oriented and efficient Support Manager to join their team. This is a permanent, full-time position based in the office with working hours as 07h30 to 16h30 Monday to Thursday and 07h30 to 15h00 on Fridays. This position will involve a range of client service support, office administration, and team management responsibilities. The ideal candidate should be detail-oriented, proactive, and have the ability to work well under pressure, managing both administrative tasks and client-facing functions effectively.Responsibilities:Client Service Support:

  • Maintain Avails List and Calendar
  • Update availability and flag double bookings
  • Add new sites as needed
  • Ensure the weekly balance meeting is conducted and the holding is kept up to date
Assist with Brief/Proposals:
  • Produce PPT presentations using the required template
  • Ensure deadlines are met and information is accurate
  • Update with the best photos and accurate information
  • Ensure fast turnaround times for briefs
  • Pull client evaluations and add new sites
  • Assist development with research, ensuring deadlines are met and information is accurate
  • Ensure holding is up to date and new sites are well-positioned
Renewal Notices:
  • Maintain and populate renewal notices and reminders for the Sales Team
  • Send renewals notices with photos and details
Mapping:
  • Map client stores for briefs
  • xe2x80x8bMaintain billboard files and provide proactive mapping
Maintaining Client Templates/Summary Spreadsheets:
  • Update information and photos quickly and accurately
  • Assist development with research, ensuring deadlines are met and information is accurate
Anniversaries & Birthdays:
  • Confirm event themes, purchase dxc3xa9cor, and arrange cakes
Maintain Client List:
  • Keep client list and birthday details up to date
Office Administration:
  • Manage office operations, flights, accommodation, and the office budget
  • Oversee the general office setup to ensure optimal functioning
  • Manage the Site Audit and Office Maintenance staff
  • Handle IT issues and secure quotes when necessary
  • Update birthday mailers annually
  • Assist in onboarding new staff and following the onboarding manual
Requirementsxe2x80x8b
  • Matric (Grade 12)
  • A relevant qualification in office administration, business management, or a related field is a plus
  • Minimum of 3 years of experience in a support or administration role, preferably within the media, marketing, or client services industry
  • Proven experience in managing client lists, updating databases, and preparing client proposals
  • Experience in office management and handling office operations is required
  • Strong background in working with project management tools and office software (e.g., Microsoft Office Suite, Google Workspace, and presentation tools)
  • Strong verbal and written communication skills
  • Ability to work independently and as part of a team
  • Time management and multitasking skills
  • Strong problem-solving and decision-making abilities
  • Attention to detail and ability to prioritise tasks effectively
