offices in Pretoria for a fully committed, professional Tender Office Administrator with proven successful awards and
at least 2 years experience
in RFQs and tender submissions.
The Ideal Candidate will:
1. be willing to put in extra hours as per operational requirements;
2. proficiently source RFQs as specifically directed;
3. proactively handle the tender submission process ;
4. be able to multi-task while ensuring accuracy and data completeness of attached documents;
5. prioritise tender office administrative tasks;
6. comply with tender requirements or specifications and ensure quality standards are adhered to;
7. keep record and ensure tender deadlines are met timeously;
8. hit the ground running, i.e be self-motivated and competent, working with little supervision and a great team member;
9. have impeccable oral and written Business English skills in liaising with all relevant stakeholders.
The Key Responsibilities:
Quotation for RFQs and tenders together with pricing;
Compiling proposals for submissions to prospective clients;
Drafting respective methodologies per bid/ proposal;
Responsible for management of tender process from receipt to delivery;
Assessment of relevance and analysis of requirements prior to procurement of tender documents;
Attend tender briefing meetings (both physical and virtual meetings);
Collate tender documents including all related pre-qualification and questionnaires;
Ensure tenders are of a high quality standard and in terms of completeness;
Represent the best possible tender submissions' response per specifications;
Daily search on all relevant platforms for tenders and RFQs;
Update tender register and follow-up tenders;
Maintain traceability of electronic soft copy and hard copy material;
Provide weekly detailed updates and weekly progress reports;
Ensure the up-to-date status of all commercial documents e.g Compliance documents, Tax Clearance and BEE certificate;
Provide support to Operations and General Admin as and when required.
Minimum Requirements
Relevant degree/ diploma (NQF level 6) qualification will be highly beneficial;
Minimum
2-years
experience with proven track record of awards in RFQ Sourcing; Tender Administration and coordination up to submission (references will be contacted);
Fully computer literate e.g with Microsoft Office Outlook, Word, PowerPoint, Excel proficiency and other such relevant tools;
Effective business development skillstogether with strong marketing, administration and inter-personal skills.
