Proctor all exams with the utmost security measures
Ordering of vouchers and confirm exam appointments timeously
Registering 1st time students on the vendor and ensure their details are correct
Ensure all safety/security regulations are followed
To recertify all exams on a yearly basis
Apply and do all administration activities surrounding exams
Record keeping of all international exams and send stats timeously to Head TCA
Ensure all finance are up to date before allowing student to write international exams
Record keeping of all bookings and vouchers ordered and received
NO Unauthorized access to the exam centre
Continuous follow-up and tracking of incidents
Notify both COM and Head TCA of any pertinent issues
Keep system software up to date and stock count of all PCs in the testing centre
COM to sign off on International Prelims before booking of career students
Accurate capturing of delegates info on the system
Phone/Email delegates to confirm appointments
Warmly welcome all clients
Answering telephone within three rings
Maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor's book and issue visitor badges)
Assist clients with enquiries when able to assist
Assist with queries VIA e-mail and telephone from various clients
Ensure all Health & Safety requirements are followed as per SOP
To manage and maintain by ensuring reception area is professional, tidy and presentable
Update calendars and schedule meetings
Ensure that Campus Operational Manager are informed timeously of client/student concerns
Keep up to date with program fees and new promotions running
Capturing of Data Cards within 2 days of receipt - keep record in file
Mining CCP Leads, applications
Communicate and do quote for prospective 2nd/3rd Year enrolments
Phone to make Open Day Bookings (May & October)
Treat all staff, students and clients with respect
Meat deadlines
Perform other clerical receptionist duties such as filing and photocopying
Professional dress code
Professional communication to all stakeholders
Experience, Qualifications and Competencies: Qualifications:
Grade 12
Additional certification in Office Management
Requirements:
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Time-Management skills, with the ability to prioritize tasks
Customer Service attitude
