POSITION: TRANSPORT MANAGER
About the Position:
The Transport Manager is to manage company fleet and ensure optimal functioning of vehicles on a daily basis. Oversee Fleet to ensure optimal operational efficiency, cost-effectiveness, and compliance with safety regulations for business requirements.

Overtime hours are not applicable for this role.

Location of position: KwaZulu - Natal
The position will be responsible for:
Ensuring all drivers and helpers know which routes they are allocated to
Log vehicle KM
Ensure tracking of Diesel usage
Drivers time and attendance to be monitored
Ensure All vehicles have valid licenses and road worthy
Ensure all drivers licenses, PDP, IDs are verified and certified.
Assist in the management of the repair and maintenance budget
Ensure all Service for vehicles are to date
Ensure all drivers and helpers are training on loading, off-loading procedures
Ensure all Invoices and POD are signed and received from drivers and helpers
Ensure Tracking of vehicles and report any deviation from routes
Liaise closely with all departments especially sales and production.
Ensure vehicles are clean and there are strict controls in terms of food safety compliance
Ensure display of disk registrations and R638 certificates in the vehicle
Ensure proper record keeping for each vehicle's repair and maintenance, KM, diesel usage
Assist Manager with any delegated duties in relation to the management of the fleet
Closely liaise with Debtors and creditors departments for sales Pod queries and creditor invoices respectively.
Plan and organize transport routes effectively
Recommend new ideas, new economical routes, new clients that are on route that we don't currently service.
Ensure all drivers are neatly dressed, and presentable
Ensure all Manage the storage of crates within the company and capture all movements in crates
Liaise with the drivers to ensure that they collect crates from the customers and properly account for them
Report to the technical department of any returns or quality issues of products
Check invoices from drivers and record any missing invoices
Report to debtor's department of any shortages or missing invoices
Keep accurate registers for vehicle registrations and roadworthy
Keep accurate fuel usage tracking per vehicle
Assist with insurance claims
Ensure Capex approval on transport
Assisting in supporting and development of the transport department
Keep weekly roster schedule for drivers
Ensure daily stock count of Chep crates
Initiate order sheer, receive crates and issue to production
Ensure daily stock count of crates on hand.
Ensure the crates balance daily across QSR, Supermarket and Coffee shops
Ensure the correct calculation of Chep and brown Pallets
Control stock ordered and issue of pallets
Ensure all postings and transfers are done on the chep system both internally and to the different clients.
Ensure Clients accept the postings within a 24hour window
Ensure Chep crates and randomly inspected upon receipt, any broken crates are raised with chep immediately
Ensure Broken or Dirty crates are returned to Chep and the Lupo account is credited
Ensure there is no misuse of crates both internally and externally
Fully understand the Chep system.
Reconcile weekly / monthly no of crates ordered, issued to production and delivered to Vector.
Identify increased demand quantity with reasons
Ensure all PODs are received from drivers and scanned to Debtors
Raise any concerns or issues immediately regarding postings to Chep account
Report any discrepancies to Chep account
Request Monthly report from Chep and ensure it balances with Lupo Recons.
Be responsible for the accurate filling and retrieval of documentation in accordance with the departmental systems and procedures.
Dealing swiftly with any crate/ invoice queries.
Assist with shortages from transport department
Please note this position requires attention to details and daily stock counts and Reconciliation
There may be duties performed outside of this scope from time to time based on management discretion.
Requirements:
To be successful in this role you will need to meet the below requirements:
Relevant degree in Transport, Fleet managemen or Logistics
>5 years experience in logistics, fleet management, or transport is essential
Fully Computer Literate (Microsoft Excel, Word, PowerPoint presentations)
Strong Communication Skills and ability to deal with employees at all levels
Problem- solving Techniques
Able to follow instructions
Must be able to comply with deadlines
Strong Administrative Skills
Attention to detail
Attention to Risk compliance
