Transport Manager - ParowFull job descriptionThis position is responsible for establishing and maintaining a smooth operation and helps provide 24-hr coverage of drivers and the fleet in accordance with contractual requirements. Provides general supervision of all transportation, drivers and administrative staff. Primary responsibility is to make sure that all scheduled employees are on the job at the start of the shift or at the scheduled dispatch time and that the operation is running smoothly and professionally at all times. This position involves the planning, directing, and coordination of all delivery and reporting activities, and must keep the service delivery moving smoothly, accurately, and efficiently.2.1. Direct and motivate team members working on the contract.2.2. Report any accidents or unsafe conditions to the Fleet Manager and the HR Manager.2.3. Be responsible for compliance and knowledge with Department of Transportation regulations, National Road Traffic Act and other safety standards.2.4. Coordinate with Fleet being scheduled is in a safe and working order in accordance with company and governmental standards (Effective and Proactive)2.5. Keep all mistakes and waste to a minimum and check to make sure that routes are properly set up.2.6. Maintain effective and timely scheduling of Supervisors, Schedulers, Controllers, Regulators, Drivers and Call Center Staff. And monitor & report on staff compliance to these schedules. Ensure schedules are displayed and consistently applied.2.7. Facilitate communication within the management team and between the Operations team and management.2.8. Monitor all scheduled tasks to ensure that they are efficiently completed.2.9. Provide training as needed to maintain an efficient and knowledgeable workforce.2.10. Enforce general company policies and issuance of coaching/disciplinary documentation to Operational staff, Final written warning and termination will be presented for approval to the Operations Manager and/or the Human Resources Manager.2.11. Be responsible for productivity data including but not limited to passenger load rates, routes, stops, and timely scheduling of all routes for on-time departures and arrivals.2.12. Interpret the Operations SOP and Company procedures to the operational team.2.13. Have knowledge of staff management procedures.2.14. Provide departmental coverage and leadership and maintain a level of managerial professionalism at all times.2.15. Assist the CEO, Operational Director, Operations Manager, Fleet Manager and Quality Manager with research and development of new techniques and procedures to increase the efficiency of any transportation operation.2.16. Provide additional assistance with projects and other activities as assigned2.17. Preparing annual budgets and reports concerning the operation costs and present to Executive Management2.18. Interacts with approved and authorised subcontractors and reports subcontracted work and costs for reconciliation and regular reviews by Operational Manager.2.19. Oversees that supervisors carry out their set duties and that all controlled documentation is effectively completed and stored2.20. Oversee that the scheduling of drivers hours is compliant with the statutory requirements set for the industry. And ensures all driver pdps and licenses are controlled and up to date.2.21. Ensures that effective contingency plans are established and that thorough handover is conducted in his/her absence2.22. Manages the needs of both supervisors and drivers and addresses and manages employees in accordance with the organisation's vision and mission.2.23. Ensures active and continual control of the operational system and advises drivers/supervisors in the event of an emergency2.24. Oversees the safety of his/her subordinates in the vehicles and areas of work2.25. Promotes effective communication by holding regular meetings with drivers and supervisors in accordance to theQMS and actively promoting staff morale2.26. Identifies areas of risk or improvement and proactively discusses such with the executive level.2.27. Ensures effective support to the Fleet department to ensure vehicles are roadworthy and safe to be driven and ensuressubordinates are reporting faults in accordance with the system2.28. Regularly attend client/customer briefings and meetings that relate to the operational areas or needs of clients andensure these are effectively minuted and filed Conduct regular visits with the City of Cape Town and Dial A RideForum to assess services delivery satisfaction2.29. Regularly carry out on-site inspections at the client and record any non-conformities as per Quality ManagementSystem.2.30. Developing effective transportation relationships.2.31. Monitoring transport costs and minimize accidents and damages as a result of driver negligence2.32. Monitoring and overseeing that fares submitted by drivers are submitted timeously and that no theft or misuse occurs byeither a driver or a user.2.33. Dealing with the effects of congestion.2.34. Confronting climate change issues by implementing transport strategies and monitoring HG Travellings carbon footprint.3.1. Have minimum of 10 years of experience in all facets of passenger transportation systems3.2. Have computer software knowledge related to record-keeping. Preferred experience in Excel, MicrosoftWord, and Tracker or Operational/Logistics management programs.3.3. Be able to write reports, business correspondence, procedure manuals, and inter-company memos/outsidecorrespondence.3.4. Have 2-3 years of accounting, planning, and analytical and/or reporting experience, in positions with increasingresponsibility is preferred.3.5. Be able to read, analyse, and interpret general business periodicals, professional journals, and technical procedures.3.6. Understand financial statements and resulting cost implications.3.7. Have strong analytical and communication skills with a proven ability to work within the framework of the Team.3.8. Have knowledge of transportation/logistics systems.3.9. Understand vehicle dispatch issues and procedures.3.10. Have a tertiary degree/diploma in a related field is preferred.3.11. Must be physically able to ascend and descend stairs and inclined surfaces of the vehicles3.12. An analytic mind and good numeracy skills.3.13. Excellent geographical knowledge.3.14. Good people management and coordination skills.3.15. Excellent financial acumen.3.16. Excellent negotiation and communication skills.3.17. Extensive knowledge of the transportation industry and ensure constant growth and development of skills through personal study and advancement3.18.
