Job Description


MAIN JOB PURPOSEThe Workplace Coordinator will oversee activities related to learner workplace management, aiming to enhance learner retention and improve placement rates with host entities. This role involves ensuring compliance with policies, processes, and procedures related to learner recruitment and workplace management.QUALIFICATIONS & EXPERIENCE

  • Diploma/Degree in Human Resources Management or equivalent required
  • Project Management Certificate advantageous
  • Advanced knowledge and proficiency in MS Office
  • Minimum 1 year of experience in a learnership environment
  • Minimum 3 years of experience in workplace placement essential
DUTIES & RESPONSIBILITIES
  • Capture and file learner details from application through to post-placement tracking
  • Maintain accurate host information and databases
  • Ensure compliant use of LMS and document management systems, including Google Drive
  • Adhere to document safety, quality, and reporting requirements
  • Allocate resources and ensure learners have necessary tools and equipment
  • Verify that host employers meet Occupational Health and Safety (OHS) requirements
  • Conduct learner assessments and interviews for appropriate placement
  • Track learners at host employers and ensure suitable working environments
  • Coordinate with venue supervisors on attendance, tracking, and safety
  • Facilitate learner management and handle HR issues or emergencies
  • Act as a liaison between learners and host employers
  • Address learner challenges, accommodate disabilities, and ensure wellness
  • Manage an Academy Alumni program and support learners in finding permanent employment
MENTORING & COACHING
  • Conduct one-on-one sessions with learners as needed
  • Review and assess learner progress
  • Ensure accurate attendance records and report issues to project coordinators
  • Maintain confidentiality and adhere to professional standards
STAKEHOLDER ENGAGEMENT
  • Build and maintain relationships with internal and external stakeholders
  • Attend meetings and actively promote the organization in the community
  • Manage relationships with key community stakeholders and recruitment platforms
REPORTING
  • Report on learner workplace management and maintain accurate records
  • Submit detailed weekly and monthly reports

  • Strong computer literacy and administrative skills
  • Excellent report writing and attention to detail
  • Ethical, trustworthy, and able to handle confidential information
  • Organized, professional, and able to meet strict deadlines
  • Excellent communication and interpersonal skills
  • Ability to analyze CVs and determine candidate suitability
  • Proficiency in using online recruitment tools and platforms
