Job Description


The Workshop Administrator manages essential administrative and financial tasks for the workshop, including payments, orders, medical and competency coordination, accommodation, wages, and insurance claims.Key Responsibilities1. Financial Administrationxc2xb7 COD Management: Handle and reconcile cash on delivery payments; liaise with finance for discrepancies.xc2xb7 Traffic Fines Payments: Process and maintain records of traffic fines; resolve legal issues with the Foreman or Plant Manager.xc2xb7 Wages and Allowances: Prepare payroll information; ensure timely wage payments and resolve employee queries.xc2xb7 Insurance Claims: Process and manage claims for plant and vehicles; maintain records.2. Order and Inventory Managementxc2xb7 PPE Orders: Oversee procurement and distribution of PPE; monitor inventory levels and ensure compliance with safety standards.xc2xb7 Medical and Competency Records: Coordinate medical exams and maintain records; track appointments and ongoing competency programs.3. Accommodation and Living Out Allowancesxc2xb7 Accommodation: Arrange and manage cost-effective accommodation for staff traveling outside Cape Town.xc2xb7 Living Out Allowances (LOA): Administer and maintain records for LOA payments.4. Cost Control and Reportingxc2xb7 Costing Earthmoving Plant: Manage and report on plant hire costs; communicate with site managers.xc2xb7 Daily Diesel Control: Monitor diesel usage; compile reports for cost savings.xc2xb7 Wesbank Fleet System: Oversee fleet records and coordinate with management for optimization.5. Administrative Support- Provide general support for workshop activities; maintain accurate records and generate reports; coordinate with internal and external stakeholders.6. Human Resources- Serve as the HR contact for operators; assist with recruitment and onboarding; monitor performance and compliance with health and safety regulations.Qualifications & Experience- High school diploma; additional qualifications in administration or finance preferred.- Prior administrative experience in a workshop or similar environment is advantageous.- Strong organizational, financial management, and communication skills; familiarity with fleet management systems.- Detail-oriented, independent, proactive, and adaptable.
